Privacy Policy

Last updated October 11, 2026

This policy explains how Walk Up Song App (“we”, “us”) handles information in the Walk Up Song App mobile app for iPhone and Android, the service behind it, and this website. If you have a question that isn’t answered here, email support@walkupsongapp.com.

1. The short version

  • We collect what the app needs to run your team’s walk-up music, and nothing else.
  • There are no ads, no advertising or analytics trackers, and we don’t sell or rent data.
  • Coaches enter players’ names, and on youth teams those players are minors. We keep that to the minimum and only show it to your team.
  • You can delete your account, and every team you own, in the app at Settings → Delete account.

2. What we collect

InformationWhy
AccountYou can start as a guest: the app creates an account tied to your device, with no name or email. If you add an email to keep your teams, we store that email, a hashed password and an optional display name.
Teams and playersWhat you enter: team name, sport, colours and logo; player first and last names, numbers, nicknames, how to pronounce a name, and (if you use co-ed alternation) each player’s gender for lineup rules. Player photos are optional. Lineups and batting orders.
Songs you uploadThe audio files you choose, their title and artist, the start point, length, fades and volume you set, and the short clips we render from them. Also your confirmation that you have the right to use each file.
Voice recordingsIf you record your own announcer intro for a player, that recording. The microphone is only used while you are recording.
Apple Music choices (iPhone)If you use Apple Music, the song’s Apple Music catalog ID, title, artist and artwork link, so the app can play it again. Your Apple Music sign-in and subscription stay with Apple; we never see them.
Purchase statusWhether you have Pro and when it expires, sent to us by RevenueCat, along with the subscription events (purchase, renewal, cancellation) behind it. We never receive your card or payment details; Apple or Google handle payment.
Lineup photos and PDFsIf you import a lineup from a photo or PDF, the file is processed to read the names and numbers and is not stored. We keep a count of imports per month to apply plan limits.
Technical dataLike any server, ours logs requests (IP address, time, the page or API address, device and app version) to keep the service running and secure. The app has no crash-reporting or analytics SDK. If you have chosen to share diagnostics with developers in your phone’s settings, Apple or Google may pass us anonymous crash reports.
Support messagesWhat you send us when you contact support by email or through the contact form. Messages sent through the contact form (your name, email, topic and message) are stored so we can reply, and deleted on request.

3. What we don’t collect

No location, contacts, advertising identifiers or browsing history. No ad networks, no third-party analytics, and no tracking across other companies’ apps or websites. This website sets no tracking cookies.

4. How we use it

  • To run the app: store your teams, render clips, sync them to your phones and your coaches’ phones, and play them at the field.
  • To provide Pro and apply the free plan’s limits.
  • To read a lineup from a photo or PDF when you ask us to.
  • To answer support requests, prevent abuse, and keep the service secure.
  • To meet legal obligations, such as tax records kept by the app stores.

We do not use your content to train AI models, and we don’t let our providers do so.

5. Who processes it for us

We use a small number of service providers, each only for the job listed and under contract to protect the data:

ProviderWhat for
HostingRuns our servers and database: our cloud hosting provider (PLACEHOLDER: name and region).
Bunny.net (BunnyWay d.o.o.)Stores uploaded songs, voice recordings, team logos and player photos, and delivers rendered clips to your phone through its content delivery network.
RevenueCatManages Pro subscriptions bought through the App Store and Google Play, and tells us your Pro status. It identifies you by your Walk Up Song App account ID.
Apple and GoogleApp distribution and payment. Their own privacy policies cover what they collect when you download the app or buy Pro.
AnthropicReads lineup photos and scanned PDFs (only when you import one) and returns the names, numbers and order. We send the image only, not your account details, and we don’t store it. Anthropic processes it under its commercial terms, which do not allow it to be used to train models.
Email deliverySends account emails such as password resets (PLACEHOLDER: provider name).

We may also disclose information if the law requires it, to protect someone’s safety, or as part of a sale or merger of the service (in which case this policy continues to apply).

6. Your songs and voice recordings

Original song files, voice recordings and photos are kept in private storage that is only reachable through our server, which checks that you’re on the team. The short rendered clip played in game mode is delivered from a content delivery network at a long, random address that isn’t listed or searchable anywhere; anyone holding that exact address could play the clip. Your phone keeps downloaded clips so game mode works without signal; they are removed when you delete the app.

7. Who on your team can see what

A team’s players, lineups, clips and recordings are visible to the team’s owner and anyone the owner invites as a coach or viewer. Nothing is public, and there are no profiles or search. If you leave a team or the owner removes you, you lose access to it.

8. Youth teams and children

Walk Up Song App is for coaches and team organizers, not for children to use themselves, and accounts are not meant for anyone under 13 (or the minimum age in your country). But youth teams are a big part of who uses it, so coaches will enter minors’ names and numbers, may record their names being announced, and may add photos.

  • Enter only what you need. A first name and number is enough for the announcer; photos are optional.
  • Follow your league’s rules on players’ information, including any parent or guardian consent it requires.
  • We use players’ information only to run that team’s walk-up music. It is never used for ads, profiling or tracking, and never sold.
  • A parent or guardian can ask the coach to remove a player, or email us at support@walkupsongapp.com and we will delete that player’s information.

If you believe a child has created an account, email us and we will delete it.

9. Keeping and deleting data

We keep your information while your account is open. You can delete things one at a time in the app (a player, a song, a recording, a team), and the files go with them.

Deleting your account: in the app, go to Settings → Delete account. This permanently deletes your account and every team you own, with its players, lineups, songs, clips, voice recordings and images, including the files in storage. Teams you joined as a coach stay with their owner. You can also email support@walkupsongapp.com from the address on the account and we will do it for you.

  • Deleted data leaves our backups within 30 days.
  • Server logs are kept for a short period for security, then deleted.
  • Deleting your account does not cancel a Pro subscription; cancel it in your App Store or Google Play account. Records of purchases may be kept by Apple, Google and RevenueCat, and by us where needed for accounting, tax or disputes.
  • A guest account you stop using can be deleted the same way.

10. Your rights

Depending on where you live (for example under Canada’s PIPEDA and Quebec’s Law 25, the EU and UK GDPR, or California law), you can ask to see the personal information we hold about you, correct it, get a copy, delete it, or object to how we use it. Email support@walkupsongapp.com; we will answer within 30 days. You can also complain to your privacy regulator, such as the Office of the Privacy Commissioner of Canada.

11. Security

Data is encrypted in transit, passwords are hashed, original files are in private storage, and access is limited to the people who run the service. No system is perfectly secure; if a breach affects you, we will tell you and the regulators as the law requires.

12. Where data is stored

Our providers may store and process data outside your province or country, including in Canada, the United States and the European Union. Where that happens, we rely on the providers’ contractual protections, and the data may be subject to the laws of those places.

13. Changes to this policy

If we change this policy, we will update the date at the top. If a change materially affects how we use your information, we will tell you in the app before it applies.
